Day 7Nudge
The Gentle Nudge
A gentle invoice follow-up email template for one week overdue. Asks one direct question so the client can reply in a single line.
The template
Subject: Following up: invoice #{invoice_number}
Hi {client_name}, Following up on invoice #{invoice_number} ({amount}), which was due on {due_date} — a week ago now. Totally understand if things are busy. Could you give me a quick heads-up on when payment will go out? A one-line reply is fine. Thanks, {your_name}
Replace the {curly} bits with your details. That's it.
When to use it
- One week overdue
- Your friendly check-in got no reply
- Clients who respond to chat but ignore email
Pro tips
- →Ask one direct question ("when?") — it forces a concrete answer instead of silence
- →"A one-line reply is fine" lowers the barrier to responding
- →Don't apologize for asking. You did the work
- →Still no reply after this? That's your signal to escalate, not to wait longer
